A thousand hand flags, one gesture: how to plan a flash mob people want to film

It is six in the evening and the square is full. Three hundred people hold a small flag low, at their side, and wait for you. The music stops, you give the signal, and every flag goes up in the same second.

That second is the one everybody films.

This guide gets you there. You get the plan, counted backwards from your date; how many flags to order; a design that reads on a flag 20 cm high; what to do on the day; and a checklist to print.

The mistake: the flags come last

Most organisers plan the music, the place and the permits first. The flags come last, ordered from a supplier who answers «about a week». A week from when: the file, the payment, a day nobody writes down?

A flash mob has one exact day. Flags that arrive the day after never arrived.

Why a flag works

A flash mob needs one gesture anyone can do without practice. Raising a flag is that gesture. A child does it, a grandmother does it, nobody has to learn a step.

The colour does the rest. In a wide shot, faces shrink to dots, but three hundred flags of the same colour stay one block you can see from the far end of the square. And a movement that starts all at once pulls the eye: we explain why in Why a waving flag catches your eye.

The plan, backwards from the date

Start from the day and walk back. Each step gets its own date, written down.

  1. The day. The hour, the place, the signal.
  2. The rehearsal. A few days before, with the people who lead each group. Rehearse with the real flags, not with sheets of paper.
  3. The distribution. Who brings the boxes, where they are opened, who hands the flags out.
  4. The delivery date. The flags must be in your hands before the rehearsal.
  5. The order. Place it while the product page still shows a delivery date before your rehearsal.

Two things start the production clock: your payment and a file ready to print. A card, PayPal, Apple Pay or Google Pay starts it at once; a bank transfer starts it only when the money arrives. If our designer lays out your flag, the draft can take up to 24 hours, and the clock starts when you approve it.

How many flags to order

One flag per person, plus a margin for the people who turn up without registering and for the flags that get bent in a bag. One extra in ten is a sensible start.

Hand flags come in packs of ten, and the discount counts packs. From the third pack the price drops by 15%, and it keeps dropping with the quantity, up to 40% on the largest orders. A crowd of a thousand is 100 packs: on the day we wrote this, the page showed −31% for 100 to 249 packs. The menu next to the quantity field shows every step, with no code to enter.

A design that reads at 20 centimetres

The short side of a hand flag is 20 cm, in 12 proportions; the classic is 20 × 30 cm. At that size a long slogan turns into small print. Pick one of two roads: your logo, big and centred, or your colours alone.

Hand flags are printed on Nautical Polyester, and on that fabric the back looks just like the front. Text reads mirrored from behind, though. A logo or a block of colour works from both sides, so the people behind the crowd see it too.

No designer on your team? Upload your logo and write what you want. One of our designers lays it out free of charge and revises the draft as many times as you need. Nothing is printed before you approve it.

Each flag arrives with its 40 cm stick already fitted, and the three free edges are hot cut, so they cannot fray. You open the box and hand them out.

On the day

  • Hand out at the entrance. One flag per person, as people arrive, with one instruction: keep it low until the signal.
  • One signal, one second. A sound everybody hears: a whistle, the music stopping, a countdown from five. Use the same one you used at the rehearsal.
  • Someone films from above. A balcony, a window, a stage. From above, the flags fill the frame; from the ground, the first row hides the rest.
  • Someone films at eye level. The hands, the faces, the first flag that goes up.
  • Someone collects the leftovers. Spare flags in a box by the exit, ready for the next event.

What customers say

Every customer who has reviewed this flag in our shop gave it five stars: three reviews, an average of 5.0. One of them, Giovanni M., wrote: «I bought some personalised waving flags. They managed to exceed even my highest expectations.»

The moment to order

Your date is fixed. The delivery date is written on the product page before you pay. Set your country and postcode at the top of the page, choose the delivery option and read the day under «At your door».

An example from a Saturday, for an address in Rome: Express showed the Tuesday after, three days later, Standard the Friday after, six days later, Economy a Thursday, nineteen days later. A countdown next to the date tells you how long you have to order and keep it.

So the moment is simple: order while the date on the page still falls before your rehearsal. If Standard is already too late, choose Express. If we are late with Express, you get a full refund and the flags are still yours; with Standard or Economy, 10% of the order comes back as store credit.

Checklist to print

  • Day, hour and place of the flash mob, and any permission the place needs.
  • Date of the rehearsal, and who leads each group.
  • Number of people, plus one in ten, divided by ten: that is your number of packs.
  • Design: logo or colours, decided. File uploaded, or logo sent to our designer.
  • Draft approved.
  • Delivery date on the page: before the rehearsal. Paid by card, PayPal, Apple Pay or Google Pay.
  • Delivery address where someone is there to receive the boxes.
  • Distribution team and the place where the boxes are opened.
  • The signal, the same at the rehearsal and on the day.
  • Two people filming: one from above, one at eye level.

Configure your personalised hand waving flags and read your delivery date before you pay.

The date of your flash mob does not move. Your flags arrive before it.
